The Wissenschaftskolleg zu Berlin e.V. – Institute for Advanced Study Berlin, Wallotstraße 19, 14193 Berlin (the "Wissenschaftskolleg" or "we") operates the Website, which is accessible under www.wiko-berlin.de and its subdomains (the "Site"). In this privacy policy, we wish to inform you about any processing of personal data when you browse on or use the features and functions of our Site. With this privacy policy we also fulfil our obligation to inform data subjects pursuant to the General “Data Protection Regulation” and the Federal Data Privacy Law (the Bundesdatenschutzgesetz, “BDSG”).

Which data are collected and for what purpose?

Avoiding and solving technical problems

When you visit our site, your browser automatically sends information to the Wissenschaftskolleg’s web server. This information is saved in a log file, stored there for a period of 2 months, and then deleted. We process this information to ensure a steady and reliable connection between you and our site and to solve any technical problems. The data involved are:

  • Your IP address
  • Date and time of the visit
  • Kind and version of the browser
  • Operating system
  • URL of the websites visited earlier, if they are linked to us
  • Requested domain/resource
  • Domain name of the requesting Internet service provider
  • Report of successful data access
  • Search term if a search machine is used

The aforementioned purposes also constitute the legitimate interests we pursue with processing the data (Art. 6 par. 1 lit. f) GDPR).

Event registration and email

If you use our contact form to register for an event, we store your name and your email address to process your request. We use these data solely for the purposes of your registration and your attending of our event. After the event, your data will be deleted. Legal basis for such processing is Art. 6 par. 1 lit. b) GDPR.

We provide you with the possibility to join our event mailing list. However, in this case we will ask you for your informed consent to send you information via email. We will retain and process your data for such purposes until you withdraw your consent. Any processing for such purposes has its legal ground in Art. 6 par. 1 lit. a) GDPR.

You have the right to revoke your consent for the future at any time, for example by writing us an email to datenschutz(at)wiko-berlin.de.

Cookies

When you visit the Wissenschaftskolleg’s website, we will store small text files called cookies on your device.

We use cookies to make your visit on our site more enjoyable and to provide you with certain functions: if you use our login feature, a session cookie will allow you to remain logged in for the respective browser session. When you close your browser, these cookies will be erased automatically. The web analysis service we use, Matomo, also stores cookies on your device; these are also deleted when you terminate your browser session. The external services we use that place cookies in your browser are Bluesky, Vimeo, and OpenStreetMap.

We only set cookies if you have consented to this in our cookie settings. Only "Essential” cookies, which are necessary to provide the website services, are set regardless of your consent. Essential cookies

We partially set "Essential” cookies, which are technically necessary to provide you with the requested service. The setting of these cookies, as well as the associated data processing, are carried out in accordance with Art. 6 par. 1 lit. f) GDPR in our legitimate interest to provide you with the requested service. Currently, these Essential cookies are your cookie consent (cookie_optin) and a session cookie (fe_typo_user) for identification when logging in to the internal area of the Wissenschaftskolleg’s website.

Statistics

We also use the open source tool Matomo to statistically evaluate the use of the Wissenschaftskolleg’s website. With the aid of cookies and JavaScript, Matomo collects various information from your computer and transfers it to the web server of the Wissenschaftskolleg. The data collected are:

  • IP address, abbreviated for anonymity
  • two Matomo cookies to distinguish different visitors
  • URLs previously visited, if they are linked to us
  • Name and version of the operating system
  • Name, version, and language setting of the browser

The result of the statistical evaluation of these data is anonymous. The Wissenschaftskolleg does not use the IP addresses to identify visitors before cutting the addresses. The processing is based on your consent in our privacy settings (Art. 6 par. 1 lit. a) GDPR).

You can withdraw your consent at any time in our privacy settings above with effect for the future.

Using external content

Bluesky

On our website’s landing page we show embedded posts of the Wissenschaftskolleg’s Bluesky account. The embedded posts are offered by Bluesky, PBC d.b.a. Bluesky (“Bluesky”) USA. They serve to inform about current events and happenings of the Wissenschaftskolleg, its Fellows and friendly institutions.

To display the posts, a connection is established between your browser and the Bluesky servers and Bluesky may store cookies on your device. We would like to point out that using the Bluesky short message service and its functions is done at your own risk. This applies in particular to the use of the interactive functions (e.g. sharing, rating). The Wissenschaftskolleg has no influence on the further processing of your data by Bluesky, PBC. Insofar as personal data is processed, this is done to protect our legitimate interest in displaying our latest posts. Bluesky processes personal data in the United States and thus in a third country outside the EU. Please note that Bluesky is not certified under the Data Privacy Framework. The display and thus any data transfer only takes place if you have either given your consent in our data protection settings (Art. 6 para. 1 lit. a) GDPR in conjunction with Art. 49 para. 1 lit. a) GDPR) or have activated the content directly. You can revoke your consent in our data protection settings at any time with effect for the future.

Vimeo

To play videos on the Wissenschaftskolleg’s website, the Wissenschaftskolleg uses services of the video streaming service Vimeo Inc., 555 West 18th Street New York, New York 10011. You may recognize such embedded videos by the Vimeo logo on our page. Generally, we use preview images on our Site that are hosted on our own servers as a first step. If you click on such an image you will be directed onto a separate page where the plug in and the video is implemented. When you access such a page with an embedded video, Vimeo establishes a connection between your device and its servers. Additionally, Vimeo will store cookies on your device, which are required to provide you with the functions of Vimeo’s video player. The Wissenschaftskolleg has no influence on these connections and the further processing of your data by Vimeo Inc. For more information on how Vimeo processes your personal data, please refer to Vimeo’s privacy policy.

Vimeo processes personal data in the US, hence, in a third country outside of the EU. Any data transfer to Vimeo in the USA when accessing our websites with Vimeo content only takes place if you have given your consent in our cookie settings (Art. 6 par. 1 lit. a) GDPR in conjunction with Art. 49 par. 1 lit. a) GDPR), which you can withdraw in our privacy settings above at any time with effect for the future.

Open Street Map

To help you find us, we use the service OpenStreetMap, which is provided by the OpenStreetMap Foundation, 132 Maney Hill Road, Sutton Coldfield, West Midlands B72 1JU, United Kingdom. To show you the map, your browser establishes a connection with the OSMF’s servers. The Wissenschaftskolleg has no influence on these connections or on the further processing of your data by the OSMF. If and insofar as personal data is processed for providing you with such services, it has its legal grounds in Art. 6 par. 1 lit. f) GDPR. The legitimate interest we pursue with such processing is providing you with an easy to use map service on our Site.

Profiles in social networks (social media)

The Wissenschaftskolleg runs profiles on social networks. Our social media accounts complement our website and offer an easy way to interact with us. Once you access our social media profiles on the social networks, the terms and conditions and data processing policies of the respective operators apply. The data collected about you when using the services is processed by the networks and may also be transferred to countries outside the European Union where there is no adequate level of protection for the processing of personal data. We have no influence on the data processing in the social networks, since we - like you - are users of the network. Joint Control

Purposes: we process personal data as our own data controller when you send us requests via the social media profiles. We process this data to respond to your requests. In addition, we are joint controllers with the following networks and for the following processing operations (Art. 26 DSGVO). 
In the course of visiting our profile on the Facebook and Instagram network, the network collects aggregated statistics ("Insights Data") created from certain events logged by their servers when you interact with our profiles and related content. We receive these aggregated and anonymous statistics from the network about the use of our profile. We are generally not able to attribute the data to specific users. To a certain extent, we can determine the criteria according to which the network creates these statistics for us. We use these statistics to make our profiles more interesting and informative for you. Legal basis: The processing is carried out on the basis of our legitimate interest in doing so (Art. 6 para. 1 lit. f DSGVO). The interest lies in the respective purpose.

Storage period: We do not store any personal data ourselves within the scope of joint responsibility. With regard to contact requests outside the network, the information provided above on contacting us applies accordingly.

Data security

To ensure that your data is processed in a secure way during transmission, we use encryption in accordance with the state of the technology, including SSL (Secure Socket Layer). We implement technical and organizational measures to secure our Site and other systems against the loss, destruction, access, alteration, or dissemination of your data by unauthorized persons.

Providing data to third parties

We do not transfer personal data to third parties in a non-compliant way.

The website of the Wissenschaftskolleg and the web analysis service Matomo, the address management, the email system, and all other connected systems are hosted on the Wissenschaftskolleg’s servers. In certain cases we may use the help of external service providers (especially technical service providers). Personal data is not transferred to third countries, unless explicitly described otherwise in this statement.

Your rights

Insofar as the legal requirements are met you have the following rights:

  • in accordance with Art. 15 DSGVO, to the degree specified therein, to obtain access to the personal data we have processed;
  • in accordance with Art. 16 DSGVO, to demand the rectification of inaccurate or incomplete personal data we have stored on you;
  • in accordance with Art. 17 DSGVO, to demand the deletion of the personal data we have stored on you;
  • in accordance with Art. 18 DSGVO, to demand the restriction of the processing of your personal data;
  • in accordance with Art. 20 DSGVO, to demand receipt, in a structured, customary, and machine-readable format, of the personal data that you have presented us with or to demand that it be transmitted to another responsible party;
  • in accordance with Art. 77 DSGVO, to lodge a complaint with the competent supervisory authority, which in our case is the Berliner Beauftragte für Datenschutz und Informationsfreiheit, Friedrichstr. 19, 10969 Berlin.

Right to object pursuant Art. 21 GDPR

YOU HAVE THE RIGHT, FOR REASONS RELATED TO YOUR PARTICULAR SITUATION, TO OBJECT AT ANY TIME TO THE PROCESSING OF PERSONAL DATA CONCERNING YOU, PROCESSING WHICH IS NECESSARY FOR A LEGITIMATE INTEREST ON OUR PART OR TO PERFORM A TASK IN THE PUBLIC INTEREST OR WHICH IS CARRIED OUT IN THE EXERCISE OF OFFICIAL AUTHORITY.

IN THAT CASE, WE SHALL NO LONGER PROCESS THE PERSONAL DATA UNLESS WE DEMONSTRATE COMPELLING LEGITIMATE GROUNDS FOR THE PROCESSING, WHICH OVERRIDE YOUR INTERESTS, RIGHTS AND FREEDOMS OR WHERE THE PROCESSING IS NECESSARY FOR THE ESTABLISHMENT, EXERCISE OR DEFENCE OF LEGAL CLAIMS.

Obligation to provide personal data and automated decision making pursuant to Art. 22 GDPR

There is no statutory or contractual requirement for you to provide us with personal data. However, without any data we may not be able to provide you with our services. We do not use automated decision-making, including profiling, referred to in Article 22(1) and (4) GDPR.

Changes to our data protection policy

We will update this privacy policy from time to time, to be compliant with the most recent legal requirements or to update information on our processing of personal data, for example if we introduce new services. For your renewed visit, the new data protection declaration applies.
